Job Description

Position Title: Client Portal and RFP Coordinator

 

We are seeking a Client Portal and RFP Coordinator to support our team in managing client portals and handling RFP submissions across various countries. This role involves collaborating with internal teams and external clients to ensure smooth communication and timely submissions.

 

Responsibilities:

 

  • Upload necessary information and documents to client portals, coordinating with relevant teams for approvals and reviews.
  • Update client profiles in existing portals to maintain accurate information.
  • Manage emails in the designated mailbox, responding to queries and escalating issues as necessary.
  • Handle new RFP notifications, download required documents, and coordinate any associated payments.
  • Maintain the RFP database, registering new leads and updating submission details.
  • Act as the primary point of contact for clients regarding portal-related queries and proposal submissions.
  • Submit post-qualification documents to clients and share updates with the proposal team.
  • Update project tracking tools with submission details and communicate requirements to the administrative team.
  • Provide support for other portal systems when required, including scanning and sharing relevant documents with the team.
  • Maintain spreadsheets tracking vendor information, leads, submissions, and portal updates.
  • Operations Support:
    • Liaise with other internal teams to coordinate requests and ensure smooth operations.
    • Provide administrative support to team members as needed.
    • Assist with tasks during absences of team members or managers.
    • Perform general office duties as assigned.

 

Requirements:

 

  • 1-2 years of relevant experience preferred
  • Strong communication skills in both English and Arabic.
  • Proficiency in Microsoft Office suite and ability to adapt to technical tools.
  • Ability to thrive in a fast-paced, service-oriented environment.
  • Strong organizational skills and ability to manage multiple priorities.
  • Demonstrated ability to work under pressure while maintaining composure.
  • Results-oriented and self-motivated.
  • Respect for confidentiality and discretion.

 

Working Environment:
