The Opportunity
We are recruiting an experienced Office Administrator to join the Dubai office of a well-established multinational FMCG business.
This is a varied, hands-on role supporting a close-knit team of approximately 30 employees in Dubai, as well as colleagues across Singapore, Saudi Arabia and Japan.
As a central point of contact for the office, you'll play an important role in ensuring everything runs smoothly, from day-to-day administration and supplier management to coordinating internal events and supporting colleagues across the business.
We're looking for someone who enjoys being the person everyone can rely on. You'll need to be organised, approachable, proactive and confident working independently, with the ability to anticipate what needs doing rather than waiting to be asked.
Key Responsibilities
-
Take ownership of the day-to-day administration and smooth running of the Dubai office.
-
Provide administrative and coordination support to colleagues in Dubai and regional offices, including Singapore, Saudi Arabia and Japan.
-
Manage reception duties, welcoming visitors, handling incoming calls and maintaining a professional office environment.
-
Coordinate office suppliers, vendors, maintenance providers, couriers and other external service partners.
-
Manage office supplies, stationery, pantry provisions and general facilities requirements.
-
Organise internal meetings, team activities, celebrations and company events, including venue bookings, catering and logistics.
-
Coordinate deliveries, shipments and courier arrangements, both locally and internationally.
-
Assist with meeting room bookings, visitor arrangements and general office logistics.
-
Maintain accurate administrative records, documentation and office-related trackers.
-
Liaise with IT and external service providers to resolve day-to-day office issues.
-
Support ad hoc projects and administrative requirements across the business.
-
Assist with office moves, refurbishments or facilities-related projects as required.
Essential requirements:
-
Currently based in Dubai with previous UAE office administration experience.
-
Proven experience in a similar role within a multinational or established international corporate environment, ideally within FMCG or a related industry.
-
Confident managing the day-to-day requirements of a busy office with minimal supervision.
-
Strong IT skills, particularly Microsoft Office applications, including Outlook, Excel, Word and Teams.
-
Excellent organisational skills with the ability to manage competing priorities.
-
Strong written and spoken English communication skills.
-
A friendly, professional and personable approach, with the confidence to engage with colleagues at all levels.
-
A proactive, practical attitude and a willingness to get involved wherever support is needed.
-
High levels of discretion, professionalism and confidentiality.
-
A genuine team player who is equally comfortable working independently.
Desirable:
-
Previous experience coordinating an office relocation, office fit-out or similar facilities project.
-
Experience supporting colleagues across multiple countries or time zones.
-
Previous experience working in a lean regional office of a larger international organisation.
What's on Offer?
This is an excellent opportunity to join a respected multinational business offering the stability and benefits of a global organisation, alongside the friendly, collaborative environment of a smaller office.
You'll have real ownership of your role, plenty of variety and the opportunity to make a visible contribution to the wider team.
The company offers a competitive salary of AED 10,000–12,000 per month, alongside an attractive benefits package including family medical cover, education allowance, annual flights, performance bonus and generous annual leave.
Candidates must already be based in Dubai, have relevant UAE experience and be available to join immediately or at short notice.
