Role Purpose

The Operations Administrator will play a key role in supporting the planning, coordination and delivery of professional training and learning events across the UK and MENA regions.

This role focuses on ensuring smooth operational delivery of learning programmes by managing logistics, coordinating stakeholders, and supporting both virtual and in-person events from planning through to post-event administration.

The position requires a highly organised and detail-oriented individual who is comfortable working in a fast-paced environment while maintaining strong relationships with clients, trainers, partners and internal teams.

Key Responsibilities

Team Coordination (10%)

  • Support the recruitment and coordination of temporary staff required for events.

  • Liaise with staffing agencies to source suitable event support personnel.

  • Assist with onboarding and training temporary staff to ensure they understand operational procedures and event requirements.

  • Help maintain operational standards and best practices across event delivery.

Delivery & Operations (90%)

  • Act as the operational lead for learning events, including both virtual and in-person programmes.

  • Manage event schedules and coordinate resources to ensure successful delivery.

  • Liaise with clients, trainers, consultants, speakers and internal teams to ensure alignment and preparedness.

  • Set up and manage virtual event registration links, invitations and reminder communications.

  • Upload training materials and configure virtual event platforms where required.

  • Coordinate logistics including venues, travel arrangements, printing and event materials.

  • Support the development of operational resources such as best practice guides, FAQs and training materials.

  • Assist clients and internal teams in selecting appropriate platforms and tools for events such as webinars, workshops and training sessions.

  • Ensure trainers and presenters have the necessary information, equipment and technical setup prior to events.

  • Organise and facilitate rehearsal sessions ahead of live events.

  • Provide operational support during events, including hosting or moderating virtual sessions when required.

  • Assist attendees with basic technical support during events.

  • Generate reports on event registrations, attendance and engagement metrics.

  • Manage webinar recordings and post-event content.

  • Monitor trends and developments in virtual learning and event technology.

  • Support basic editing tasks for video or audio materials or coordinate with external suppliers.

  • Provide light support to the commercial team through materials such as case studies, feedback reports and course promotion support.

Qualifications & Skills

  • Proficiency in Microsoft Office applications.

  • Experience using virtual meeting and webinar platforms such as Microsoft Teams, Zoom, Webex, or similar.

  • Experience with learning management systems (LMS) or training platforms is an advantage.

  • Strong organisational and coordination skills with the ability to manage multiple projects simultaneously.

  • Excellent communication and stakeholder management skills.
