Our client, a fast-paced, international organisation experiencing significant growth, seeking an experienced Executive Assistant to provide high-level support to the Chief Executive Officer and wider leadership team. This role requires exceptional communication and organisational skills, professionalism, and the ability to manage complex priorities in a dynamic environment.

 

The successful candidate will act as the primary point of contact for the CEO, ensuring seamless coordination across the senior leadership team and supporting both professional and personal commitments. Occasional international travel may be required.

 

Responsibilities:

 

  • Provide full personal and professional administrative support to the CEO, including diary management, travel logistics, and ad hoc requests.
  • Attend and document meetings, producing accurate minutes and ensuring timely follow-up on key actions.
  • Coordinate and prepare reports, presentations, and correspondence in line with brand and corporate standards.
  • Manage and maintain systems and tools used by the CEO (e.g., task management, CRM, and project tracking platforms).
  • Conduct research and prepare executive briefings as required.
  • Oversee progress on strategic and operational projects, monitoring deliverables, timelines, and dependencies.
  • Facilitate communication across the senior management team, ensuring alignment with business priorities.
  • Schedule and coordinate internal reviews, leadership meetings, and performance updates.
  • Act as liaison between the CEO and senior stakeholders, ensuring clarity and continuity of communication.
  • Provide administrative support to visiting executives and senior team members.
  • Manage travel, accommodation, and logistics for regional and international trips.
  • Oversee office organisation, supplies, and guest arrangements to ensure smooth daily operations.
  • Support onboarding processes for new hires and assist with internal engagement activities.
  • Coordinate staff events, recognition initiatives, and celebrations.

 

Requirements:

 

  • Minimum 5 years’ experience in an Executive Assistant or similar senior administrative role.
  • Proven ability to handle confidential information with discretion.
  • Excellent written and verbal communication skills.
  • Strong project management and prioritisation skills.
  • Proficient in Microsoft Office and familiar with task or project management tools.
  • A proactive, adaptable, and solutions-oriented approach.
