Inspire Selection are working with a Service Provider Company based in Uptown Dubai.

The team ensures streamlined and efficient processes for their ultra high net worth clients, providing exceptional service and expert guidance in navigating the complexities of regulatory requirements.

 

We are seeking a detail-oriented and proactive Administrative Assistant to join their dynamic team. The ideal candidate will support operations by managing administrative tasks, coordinating client interactions, and ensuring smooth daily functions. This role requires a high level of organization, strong communication skills, and a solid understanding of UAE visa and trade license processes.

 

Key Responsibilities:

 

  • Provide administrative support to the team, including scheduling meetings, managing calendars, and handling correspondence.
  • Assist in processing and tracking mainland visa applications and freezone trade licenses, ensuring compliance with relevant regulations.
  • Coordinate with clients to gather necessary documentation and information, providing updates and resolving any issues promptly.
  • Maintain accurate and up-to-date records of client files and applications.
  • Prepare and review documents and reports related to visa and trade license applications.
  • Handle phone and email inquiries, providing excellent customer service and addressing client concerns.
  • Assist with office management tasks, including ordering supplies, maintaining office equipment, and managing filing systems.
  • Support the team in organizing and executing client meetings, presentations, and other events.
  • Perform other administrative tasks and projects as assigned.

 

Qualifications:

 

  • Previous experience as an administrative assistant in a service provider regulatory environment.
  • Familiarity with visa and trade license processes is necessary.
  • Excellent organizational and multitasking skills with attention to detail.
  • Strong written and verbal communication skills.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and office management software.
  • Ability to handle sensitive information with discretion and maintain confidentiality.
  • Strong problem-solving skills and ability to work independently as well as part of a team.
