Job Description

We are recruiting an experienced Office & Operations Manager / Executive Assistant for a growing luxury business in Dubai.

This is a varied, hands-on position working closely with an entrepreneurial Managing Director and taking responsibility for the smooth day-to-day running of the business.

The role combines office and business operations, Executive Assistant support, client coordination, HR administration and basic accounts. We are looking for someone who enjoys being at the centre of a business, takes ownership and can be trusted to ensure things are handled accurately and followed through.

The Role

Your responsibilities will include:

  • Managing the Managing Director's diary, meetings, appointments and priorities
  • Coordinating the day-to-day running of the office and wider business operations
  • Managing suppliers, contractors and external service providers
  • Coordinating maintenance, cleaning, utilities and other facilities requirements
  • Managing contracts, service agreements, renewals and recurring payments
  • Supporting basic accounts administration including invoices, expenses, supplier payments and payment tracking
  • Maintaining accurate financial and administrative records
  • Supporting HR administration, employee records, onboarding and other documentation
  • Coordinating client requirements, meetings, schedules and projects
  • Providing a professional point of contact for clients where required
  • Keeping track of deadlines, commitments and outstanding actions
  • Supporting the Managing Director with ad hoc projects and business initiatives
  • Helping to develop and improve processes as the company continues to grow

About You

Exceptional attention to detail and accuracy are essential for this position.

You will be someone who naturally checks their work, notices when something doesn't look right and takes pride in ensuring information, payments, documentation and arrangements are correct.

You should also be:

  • Highly organised and able to manage multiple priorities
  • Proactive, dependable and comfortable taking ownership
  • Confident working closely with a Managing Director or business owner
  • Professional and polished when dealing with clients
  • Comfortable with basic accounts and HR administration
  • Commercially aware and mindful of costs and deadlines
  • Discreet and trustworthy
  • Calm and solutions-focused when priorities change
  • Open-minded, adaptable and willing to get involved wherever needed
  • Confident using Microsoft Office and learning new systems

Previous experience as an Office Manager, Operations Manager, Executive Assistant or in a similarly broad business support position is essential.

Experience within a luxury, hospitality, events, interiors, retail or other high-end service environment would be advantageous.

This role will particularly suit someone who enjoys working in an entrepreneurial environment and wants to play an important part in the growth of a business. It isn't a narrowly defined corporate position – we're looking for someone who enjoys variety, sees what needs doing and gets on with it.
