Job Description
We are working with a growing investment management firm in DIFC to recruit an experienced Executive / Team Assistant to support senior executives and the wider investment team.
This is a busy, varied role within a dynamic and ambitious environment. We're looking for someone who enjoys being at the centre of things, organised, switched-on and able to take ownership without needing constant direction.
Responsibilities:
- Complex diary and meeting management for senior executives and the wider team
- Coordinating international and domestic travel, including flights, hotels, ground transport, visas and detailed itineraries
- Managing expenses and travel documentation
- Monitoring executive inboxes and highlighting or actioning priorities
- Drafting professional correspondence
- Acting as a key liaison with internal and external stakeholders
- Preparing reports, presentations and briefing materials
- Compiling board and committee packs
- Supporting strategic projects and tracking deadlines and milestones
- Coordinating interviews and new joiner onboarding
- Organising team events, offsites, conferences and marketing events
- Managing contracts and legal documentation for record keeping
- Supporting internal budgets and financial tracking
Experience:
- A minimum of 5 years' experience in an Executive Assistant, Team Assistant or similar role
- Ideally experience gained within investment management, investment banking, management consulting, professional services or a law firm
- Excellent written and spoken English
- Strong organisational and time-management skills
- Confidence working with senior executives and multiple stakeholders
- A proactive, energetic and resourceful approach
- Excellent attention to detail
- The ability to manage multiple priorities and remain calm under pressure
- Complete discretion when handling confidential information
