Job Description

A well-established international trading firm is seeking a highly capable Office Manager to oversee the day-to-day operations of its Dubai office. The ideal candidate will play a pivotal role in ensuring the office runs efficiently and professionally, supporting both administrative functions and broader operational needs. Job Responsibilities:

 

  • Ensure the smooth running of the office on a daily basis, handling all operational and administrative tasks
  • Manage relationships with service providers, suppliers, and vendors
  • Maintain office facilities and equipment, including coordinating repairs and maintenance
  • Organise internal meetings, manage calendars, and provide scheduling support as needed
  • Assist with onboarding new employees and maintaining administrative HR records
  • Maintain filing systems, manage correspondence, and support document preparation
  • Track office expenses and assist with petty cash and invoice processing
  • Proactively identify and implement process improvements to enhance efficiency
  • Coordinate small-scale events or team activities when required
  • Serve as the go-to point for all general office-related queries

 

Skills and Requirements:

 

  • Fluency in Russian and English with excellent written and verbal communication skills
  • Proven experience as an Office Manager, Front Office Manager, or Administrative Assistant
  • Solid understanding of office administration responsibilities, systems, and procedures
  • Proficiency in Microsoft Office (especially Excel and Outlook)
  • Hands-on experience with common office equipment such as printers, scanners, etc.
  • Strong time management and multitasking abilities
  • High level of attention to detail and problem-solving skills
  • Ability to remain flexible and resourceful in a fast-paced environment
  • Well-organised, proactive, and able to work independently
  • A creative and solutions-driven mindset with the confidence to suggest improvements
