Job Description
The Legal Executive Secretary will be responsible for performing the administrative and clerical duties outlined in this job description, while also providing legal administrative support to other departments. The objective is to maintain the efficiency of office operations and case management, ensuring reliability and consistency throughout.
Key Responsibilities:
- Client Communications:
- Draft and obtain signatures for engagement letters.
- Respond promptly and professionally to client inquiries.
- Conduct initial client screening and conflict checks.
- Open case files and ensure necessary notifications are sent.
- Perform data entry for case management systems and make approved online payments.
- Provide support to departments like litigation, arbitration, and corporate.
- Draft legal documents (e.g., LOE, MOU, POA).
- Transcribe, compile, and distribute meeting minutes.
- Liaise with vendors for translations and ensure timely delivery.
- Obtain client pre-approval for translation costs and coordinate with accounts for payments.
- Manage newspaper publication formalities and documentation.
- Coordinate document attestations with MOFA and Ministry of Justice.
- Maintain efficiency in office procedures and adhere to company policies.
Qualifications:
- Graduate or diploma holder.
- Minimum 3–4 years of experience in a similar role within a reputed law firm, legal department, or consultancy.
Skills Required:
- Essential:
- Strong legal administration capabilities.
- Excellent written and verbal communication skills in English.
- Preferred:
- Arabic language proficiency.
- Exceptional organizational, multitasking, and client-facing skills.
- Proficiency in drafting legal and administrative documents.
