A well-established international trading firm is seeking a highly capable Office Manager to oversee the day-to-day operations of its Dubai office. The ideal candidate will play a pivotal role in ensuring the office runs efficiently and professionally, supporting both administrative functions and broader operational needs. Job Responsibilities
- Ensure the smooth running of the office on a daily basis, handling all operational and administrative tasks
- Manage relationships with service providers, suppliers, and vendors
- Maintain office facilities and equipment, including coordinating repairs and maintenance
- Organise internal meetings, manage calendars, and provide scheduling support as needed
- Assist with onboarding new employees and maintaining administrative HR records
- Maintain filing systems, manage correspondence, and support document preparation
- Track office expenses and assist with petty cash and invoice processing
- Proactively identify and implement process improvements to enhance efficiency
- Coordinate small-scale events or team activities when required
- Serve as the go-to point for all general office-related queries
Skills and Requirements
- Fluency in Russian and English with excellent written and verbal communication skills
- Proven experience as an Office Manager, Front Office Manager, or Administrative Assistant
- Solid understanding of office administration responsibilities, systems, and procedures
- Proficiency in Microsoft Office (especially Excel and Outlook)
- Hands-on experience with common office equipment such as printers, scanners, etc.
- Strong time management and multitasking abilities
- High level of attention to detail and problem-solving skills
- Ability to remain flexible and resourceful in a fast-paced environment
- Well-organised, proactive, and able to work independently
- A creative and solutions-driven mindset with the confidence to suggest improvements
